Overview

Leander Independent School District (LISD) educates over 43,000 students at its 43 campuses in Texas, serving families in seven different municipalities. Leander ISD teachers and support staff focus on engaging and inspiring students for achievement and lifelong success. With that student-focused mission, they need to simplify complex administrative processes to keep the district operating smoothly.

One role of the LISD Facilities Department is to support room setup, for example, when a teacher moves to a new classroom, or an organization hosts a banquet or conference on one of the campuses. LISD chose onPhase to automate this process because of its easy-to-use design features and enterprise-grade integration options – particularly its ability to connect with SQL databases.

The Solution

LISD's Setup Request form allows the user to select a campus and then see a dropdown filtered to just the rooms available on that campus. The user enters their event details, including setup dates and other information to help the Facilities Department plan resources.

Business logic created with onPhase's Visual Rule Builder provides validation on dates and displays a custom message if there is a problem. For example, the rules ensure that the selected date and time are within two weeks of the current date, are not fall on a holiday, and are within the Facilities Department's operating hours. This helps ensure that accurate and complete data is submitted and reduces the chance that a request will be rejected. Users can upload a diagram of the room layout to help the team understand the plan.

LISD chose to integrate this form with its existing Microsoft SQL Server Database, where it tracks other Facilities Department information. onPhase's Database Connector allows the form to dynamically show options from the database in dropdown controls and automatically write to the database tables. This integration not only streamlines the user experience but also allows the Facilities Department to manage its data all in one place.
